Facilities & Office Operations Coordinator

We are looking for a proactive and hands-on Facilities & Office Operations Coordinator to ensure the smooth day-to-day operation of office facilities and support services. This role combines responsibilities in facilities management, office operations, procurement, vendor coordination, and project support. The ideal candidate is highly organized, practical, solution-oriented, and comfortable managing both administrative and on-site operational activities.

Responsibilities

Facilities & Building Management

  • Coordinate building maintenance, repairs, and preventative maintenance activities
  • Conduct regular inspections of office facilities and identify maintenance requirements
  • Oversee contractors, service providers, and external vendors to ensure quality service delivery
  • Coordinate office renovations, relocations, workspace adjustments, and facility improvement projects
  • Ensure all facilities are safe, functional, and compliant with company standards
  • Support emergency response and be available for urgent facility-related issues when required

Vendor & Procurement Management

  • Source, evaluate, and negotiate with suppliers for office equipment, supplies, and services
  • Manage vendor relationships, contracts, and service level agreements (SLAs)
  • Monitor supplier performance and ensure contractual obligations are met
  • Coordinate purchasing activities and maintain inventory of office supplies and equipment
  • Process and follow up on invoices, purchase requests, and procurement documentation

Office Operations & Logistics

  • Manage courier, mail, and document distribution services
  • Coordinate meeting rooms, training sessions, and office events
  • Organize logistics for company events and operational activities
  • Support office setup activities, including furniture moves and workspace planning
  • Maintain organized storage areas, archives, and inventory records
  • Assist departments with operational and facility-related requests

Project Coordination & Support

  • Coordinate facility-related projects from planning through execution
  • Support office openings, relocations, renovations, and workplace improvements
  • Liaise with internal departments to ensure operational needs are met
  • Identify opportunities for process improvements and operational efficiency

Requirements

  • Experience in Facilities Management, Office Management, Operations, or a similar role
  • Experience coordinating maintenance, repairs, and vendor services
  • Knowledge of procurement, purchasing processes, and contract management
  • Strong organizational and project coordination skills
  • Ability to manage multiple priorities and deadlines
  • Strong communication and negotiation abilities
  • Proficiency in Microsoft Office applications
  • Ability to work independently and take initiative
  • Hands-on mentality with a practical approach to problem-solving
